What the platform actually does.
Students, enrolments, AVETMISS reporting, timetabling, trainers, venues and invoicing — in one place, with a dashboard that tells you what an auditor would find before they find it.
The compliance dashboard
The part most RTOs care about first. It runs these checks across your live data and shows you what needs attention:
- Missing USI
- Invalid USI
- Incomplete AVETMISS details
- Units with a newer release
- Unanswered questions
- Unrecorded outcomes
- Completed without a Statement
- Trainer credentials
- Unassigned occurrences
Alongside them: students, active trainers, upcoming occurrences and in-progress enrolments; money outstanding, overdue, paid this month and unbilled; and an AI-governance count of every generated document sitting in draft, awaiting review, changes requested or approved.
Module by module
Students
Your student records — AVETMISS client details, contact info, and USI.
- Full AVETMISS client detail: address, contact, date of birth, gender, country of birth, language, Indigenous status, disability and prior educational achievement
- USI stored per student and checked properly — a USI carries a check character, so a single mistyped letter is caught as it is entered rather than at your next submission
- Records feed enrolments, invoicing and the NAT files without re-keying
Enrolments and outcomes
Who is enrolled in what, and how it ended.
- Enrolments carry their units, so outcomes are recorded per unit rather than per course
- Completion status drives both the NAT00130 program-completed file and the Statement of Attainment
- Unrecorded outcomes and completions without a Statement are flagged on the dashboard
AVETMISS reporting
AVETMISS NAT files for a reporting period, generated from your live data.
- NAT00010, NAT00020, NAT00030, NAT00060, NAT00080, NAT00085, NAT00090, NAT00100, NAT00120 and NAT00130
- Fixed-width records to the AVETMISS 8.0 layouts, one file per NAT
- Release 8.1 applies from 1 January 2027 and changes none of these file layouts, so the same export covers both releases
- A pre-export check lists every student with a missing or invalid USI, so you fix the data rather than a rejected submission
Calendar and sessions
Timetable your delivery, and know who is meant to be there.
- Sessions and occurrences scheduled against venues and their rooms
- Assigning a trainer checks their competencies against the unit codes the program carries, and warns when they are not qualified for it
- Occurrences with nobody assigned are flagged on the dashboard
Trainers
Your trainers and assessors — competencies, credentials, and expiry tracking.
- Competencies held, recorded as unit codes so the calendar can check them
- Credentials with expiry dates, surfaced before they lapse rather than after
- A trainer portal for the people delivering, separate from the admin side
Venues
Your training venues and their rooms — pick from these when scheduling a session.
- Venues with their individual rooms
- Assigned to sessions, so room usage is visible
Invoicing
Bill students or their employers, track payments, and export branded tax invoices.
- Invoice the student, or an employer as a reusable third-party payer
- Payments tracked against each invoice, with overdue invoices listed oldest first
- Tax invoices carry your own branding
How it meets the document side
The platform and the document generatorare one product. A program carries its unit codes, so the assessment tools you generate for those units, the trainers qualified to deliver them, and the enrolments reported against them all refer to the same thing. Every generated document moves through draft, review and approval, and that approval state is what the dashboard’s AI-governance figures count.
You can use either side on its own. Generating documents needs no RTO registration and no subscription; the platform does not require you to generate anything.
